Choose Logistics Solution

Depending on your needs and specifications, you can pick up the order at the date and time we agreed, or have it delivered and set up for you at a location of your choice.

Return the Rentals

One or two days after the event, depending on your specifications, you can return the items to our warehouse or have the Charlotte Party Rentals setup team take the rentals down, and return them to the warehouse.

Rental Process FAQs

Charlotte Party Rentals pricing includes FREE DELIVERY, SETUP AND TAKE DOWN of the following rental conditions:

(1) BASIC TENT PACKAGE – includes FREE Delivery-Setup-Takedown of CPR Tent, Tables (linens/cover not included), and Chairs.

(2) ALA CARTE TENT RENTALS – includes FREE Delivery-Setup-Takedown of CPR Tent. Other items needing setup, have to be priced accordingly.

This applies to Quotes or Orders that meet Our Minimum Order Amount and is within 20 miles radius of Our Warehouse (724 Montana Dr, Ste J Charlotte NC 28216 - 5 minutes away from Uptown Charlotte). We will just have to make some price adjustments if the Quote or Order falls below this by adding a Delivery Fee (for locations 21 miles and up) or a Delivery Fee.

Our general service area is within 20 miles radius from our Warehouse which is located at 724 Montana Dr, Ste J Charlotte NC 28216 (5 minutes away from Uptown Charlotte). Depending on the event size, we will travel beyond these areas. Due to every event being unique, our Event Consultants will do their best to tailor an order to meet the vision of your event. Please keep in mind that the more details you can give them, the easier it is for them to help bring that into reality. If you are unsure about a detail or have any questions, just ask. Some clients have all the details planned, while others are looking for input. We are here to assist you in any way we can.

We recommend that you reserve AS SOON AS POSSIBLE! Our rental equipment books up very quickly! However, if you are in a bind and need a rental on short notice, just give us a call and we'll do our best to accommodate you. We do not confirm your reservation until a deposit (50%) has been paid. We recommend you reserve about 2-4 weeks in advance. Please take note that Weekend Dates or Events fill up fast so it would be a good idea to reserve weeks ahead of time to ensure availability.

All our rental items are available on a first-come, first-serve basis. Some events may book as much as a year in advance. Popular dates may be fully booked months in advance. Contact our Event Consultants as early as possible to ensure the best availability for your event.

There are several ways that you can secure your Rental Inquiries to convert them into Rental Orders.

(1) You can call us at 704-377-5867 and speak with one of our Event Consultants

(2) You can Contact Us via our website or you can email one of our Event Consultants at info@CharlottePartyRentals.net

(3) You may also book online 24 hours a day at our Online Store

(4) When you already have the copy of Our Online Event Quote in your Email that is sent by one of our Event Consultants, you should be able to click the link to BOOK, SIGN, AND PAY and you should be all good to go.

Yes. Currently We have an $850 minimum order on all bookings. On some conditions, we may be able to accept those that fall a little below this amount depends on the following conditions: location, flexibility of the delivery and pickup schedule and the amount of event we have booked for that week.

You can pay your deposit using your debit or credit card. You are required to make a non-refundable deposit of 50% on all rentals. Your balance can be paid in debit or credit card as well. If you are a Company, Church, School, or other Organization please Contact Us for information on your payment options. No personal checks will be accepted. Balance is due 7 Days before the delivery of your rental equipment.

Charlotte Party Rentals accepts Visa, MasterCard, Discover, and American Express.

Cancellation after confirmation, for any reason will result in forfeit of deposit. Please be aware, due to limited quantities of products and availability of all services, once an order has been placed, deposits are non-refundable. In any event the client cancels a rental order fourteen (14) days prior to their event date, only 25% of the monies paid, excluding the initial 50% deposit, is refundable or transferable. If the client cancels the event within fourteen (14) days of the event date, 100% of monies paid is forfeited. This policy can only be waived if the reason for rescheduling or cancellation is due to a Hurricane Weather Warning.

No, currently Our Warehouse is for storage and maintenance purposes only. We do not have a showroom yet and it is required that Charlotte Party Rentals do the delivery and pick up of all rentals. Our industry grade heavy duty tents must be setup by Our professionally trained staff only.

Yes! Charlotte Party Rentals is a fully insured North Carolina Company. We will provide a copy of the insurance policy upon request. Municipalities, schools, churches, and other venues may contact us in advance to make the proper arrangements. The lessee or using party shall be in charge of operation after receiving each unit. Party Time Events LLC DBA Charlotte Party Rentals is not responsible for any injuries occurring to lessee or to any persons using the leased units or equipment or to any damage to personal property. We also carry commercial auto and worker's compensation insurance.

How to Handle the Delivery and Pickup

Our Onsite Hours of Operation for Delivery & Pickup is between Mondays to Fridays 9am to 4pm only. Most of the events happen on weekend, depending on the number of Orders we have for the week, we normally can deliver as early as Tuesday or Wednesday. Generally, we can go out and set up Our Tents 3-4 days prior to actual use to accommodate all requirements. We will do our best to accommodate specific delivery and pickup schedule needs. Please let our Event Consultants know of any restrictions as soon as possible. Extra fees may apply for time specific requests.

While in some cases it may not be required for you to be present at time of delivery, we strongly recommend that you or a trusted representative is present to ensure the delivery is made as needed for your event, including placement of tents or other items and that the delivery order is correct. Once a delivery is made the client is responsible for all items delivered. Additional fees will apply to multiple trips. During Our Booking Process, we normally require you to provide your site image or photo with markings on where you want the tent and other rental items to be placed. We can use this as reference or guide in case you cannot be there during our setup. But this reference will still be subject to Our Professional Tent Installers.

Prior to delivery you should ensure the area is prepared. Make sure there are no vehicles or other objects that may block direct access to the site for our delivery crews. The tent site should be free from any removable obstructions such as toys or furniture and clean from trash, debris and animal waste. Be sure to complete any mowing or landscaping of the tent site in advance. Don't forget to notify your landscaper of any schedule changes for that particular week.

All rental items should be prepared and left in the same manner in which they were delivered. For example, all items should be left UNDER the tent to protect them from the elements, all linens dry and free from food waste. Our delivery crews will discuss any specific requirements for pickup and can answer any questions you have.

Yes, tipping is greatly appreciated by our drivers. Generally in the U.S. it is customary to tip 10%-15% for services based on the level of service.

Rental Protection Plan Questions

Charlotte Party Rentals' Peace of Mind Rental Protection will limit your responsibility for rented items that are accidentally damaged or stolen. In the past, renters could be held liable for hundreds or even thousands of dollars for damages to rental equipment. With Peace of Mind Rental Protection, this liability can be avoided.

Yes. Charlotte Party Rentals' Rental Protection Plan will limit your responsibility for loss due to vandalism or theft, however a $2500 deductible will apply. Prompt notification to law enforcement authorities and Charlotte Party Rentals is required.

Loss Damage Waiver (LDW) plans vary widely from company to company. Many are misleading and offer little or no benefit to the consumer. Charlotte Party Rentals has a reputation built on over a decade of experience. We wanted to ensure that our plan was different. Owner and founder of Charlotte Party Rentals, demanded that the plan would be one of quality and substance. By design, the Rental Protection Coverage provides real benefits by limiting the renter's potential for large unexpected expenses and is one of the only plans in the industry that provides coverage for theft and vandalism.

he cost of Charlotte Party Rentals' Rental Protection Plan is a value at only eight percent (8%) of the rentals total.

If you have insurance that covers rented equipment and choose not to take advantage of the Rental Protection Plan, simply instruct your insurance company to send us a Certificate of Insurance that identifies Charlotte Party Rentals or Party Time Events LLC as Loss Payee on your equipment policy and as an Additional Insured on your General Liability Policy prior to the rental. Otherwise, purchase of Rental Protection Fee will be required.
